Start with a controlled drawing
Send the current drawing revision and identify the part number. Include a 3D model if available, but keep the drawing as the place where dimensions, tolerances and notes are defined. If the drawing and model differ, resolve the difference before production approval.
A photograph or a physical example can help explain the component. It should not be the sole definition of a new production order when dimensional and material requirements matter.
Specify the material clearly
Include the exact material grade, relevant standard and condition where required. “Steel” or “aluminum” alone leaves important questions unanswered. If the material is still under review, say so and explain what information you need.
Make any material-document or traceability requirement part of the initial inquiry. Do not assume that a particular document is included unless it appears in the agreed scope.
Explain the functional features
Identify which features locate, mate, seal or move in the assembly. Mark the critical requirements on the drawing, including any relationships between turned and milled features. Avoid describing every feature only as “precision” or “critical”.
Thread standards, surface conditions, edge requirements and any special acceptance criteria should be explicit. Where a requirement depends on another component, share the relevant interface information.
Give the quantity a context
State the initial quantity and the target batch size. If you expect repeat orders, include estimated annual demand and the intended release pattern. Request alternative quantity breaks if you need a purchasing comparison.
NOW CNC takes trial runs from 200 pieces and regular production from 2,000. Unit price typically falls as quantity rises. Request 200 / 500 / 1,000 / 2,000 pcs against the same drawing revision. Actual pricing is confirmed against the drawing, material and inspection requirements.
Include the complete scope
List finishing, inspection reports, approval samples, part identification and packaging requirements. If specialist treatment or functional testing is needed, include the specification so its availability and supply route can be reviewed.
Tell the manufacturer your target timing and destination requirements. Keep a requested date separate from a confirmed delivery commitment. Any NDA discussion should take place before sending files that require it.
Check the quotation against the brief
Before approving an order, compare the quotation with the drawing revision, material, quantity and stated requirements. Resolve exclusions or assumptions. Confirm the approval points and how changes will be communicated.
A useful quotation defines a common understanding of the order. Save that agreed scope with the drawing revision so a later repeat order starts from the same information.
